How Pestcontrol.me.uk uses the information you provide when you ask for a quote, arrange a booking or contact us about a job.

Who we are

Pestcontrol.me.uk is the pest-control business of Neil Withington, a sole trader. Neil is responsible for deciding how customer information is used by the business.

Information you provide

When you contact us, we receive the details you provide. These can include your name, telephone number, email address, postcode, property address and a description of the pest problem. Messages may include photographs or other information you choose to send.

When you arrange work, relevant records can include appointment details, quotations, job correspondence, inspection and treatment records, invoices and payment status. Please provide only information relevant to your enquiry or the work.

Quotes, bookings and job updates

We use contact and job details to answer enquiries, prepare quotations, arrange bookings, provide updates and deliver the requested pest-control service. Relevant details are also used to document the work, prepare invoices and maintain business records.

No promotional messages

We do not currently send promotional emails or promotional text messages. Contacting us for a quote or booking does not sign you up to a marketing mailing list.

Our reasons for using information

Quotes and services you request — contract: where you ask for a quote or book work for yourself, we use the information necessary to take the steps you request and provide the agreed service. This basis does not automatically apply to another person whose details are supplied.

Business contacts, access arrangements and complaints — legitimate interests: we use relevant contact, appointment and job records to arrange access, deal with business representatives and investigate service complaints or disputes. Our interests are providing the requested service and maintaining relevant evidence of the work. We consider the need for that information and the effect on the people concerned.

Required tax and accounting records — legal obligation: we keep and use the information needed to meet applicable tax and accounting requirements, including relevant VAT records.

Optional website statistics — consent: optional statistics and sharing-count features use your choice in the cookie banner. You can refuse or withdraw consent through Cookie settings.

Customer records and service providers

Appointment information is kept in Google Calendar, and customer and accounting records are held in QuickBooks. If you contact us through WhatsApp or Messenger, the conversation and the information you send may remain in that messaging service as well as in relevant job records.

When you submit the website enquiry form, the details are saved in the website’s Elementor submissions area and sent to our business Gmail and Outlook mailboxes. The form also stores the submitting IP address and browser information. A separate acknowledgement email is sent to the email address you supply. Google and Microsoft provide the mailbox services.

QuickBooks is an Intuit service. In addition to processing customer information for the business, Intuit acts as a separate controller for certain purposes, including product development and improvement, analytics, fraud prevention and security. See Intuit’s privacy statement for details.

Some providers operate internationally and may process information outside the UK. Their linked privacy information describes their processing and international-transfer arrangements; the terms that apply depend on the service and account used.

We do not sell, trade or rent customers’ personal information to others.

Preparing and storing job reports

Job reports can contain customer and property details, inspection and treatment notes, recommendations, and relevant photographs or signatures where included.

We use AI-assisted writing tools, including ChatGPT (OpenAI) and Claude (Anthropic), to help organise job notes and prepare report documents. Information supplied to these tools is processed by their providers. Neil remains responsible for the professional pest-control service and the reports issued by the business.

Completed reports are saved in Google Drive as Word or PDF files. Working drafts and conversation history may also remain in the document or AI service used to prepare them, according to the service, account settings and applicable terms.

How long we keep information

Retention depends on the purpose of each record. Our record-review policy, adopted on 7 October 2026, provides for an annual review of old enquiries, messages, appointments and report drafts.

Unsuccessful enquiries with no booking are included in the annual review once at least 12 months have passed since the last contact. This is a review point, not an automatic deletion date. Records needed for ongoing work, payments, complaints or disputes are assessed against that continuing need.

Relevant VAT records are kept for at least six years, or longer where an applicable requirement requires it. Job and treatment records are assessed against continuing service, insurance, dispute and written-guarantee needs. This includes relevant evidence for an applicable 10-year written woodworm guarantee; it does not mean that all unrelated messages are kept for that period.

The review considers whether information should be retained, deleted or anonymised and records the reason for keeping it. Neil must authorise any proposed deletion. You can still make a privacy request at any time using the contact details above; you do not have to wait for the annual review.

Website, statistics and cookies

This website uses WordPress.com and Jetpack services supplied by Automattic. The website and its hosting services process technical information when pages are requested. Optional statistics functionality can process information such as IP addresses, browser details, pages viewed, referring pages and the time of a visit. See Automattic’s site-visitor privacy notice.

You can accept or reject optional statistics and sharing-count features using the cookie banner. Use the permanent Cookie settings control to change your choice. Simply continuing to browse is not consent to optional cookies.

Your data-protection rights

Depending on the circumstances, you can ask to access your personal information, correct inaccuracies, erase information, restrict its use or receive certain information in a portable format. These rights are subject to the conditions and exceptions in data-protection law. A request to erase information does not automatically remove records that must lawfully be retained.

Your right to object: you can object to processing based on legitimate interests. Where a use of your information relies on consent, you can withdraw that consent. Contact Neil using the details above to make a request or raise a concern.

Changes to this notice

This notice is updated when the business’s handling of information changes. A change to this notice alone does not authorise an unrelated new use of customer information.
